SDR cold email subject lines: four styles with examples
A subject line has one job: get the email opened by the right person. Keep it plain and specific. Six words or fewer reads well on a phone.

Four styles
Question:
- "Supplier payment approvals?"
- "Who owns onboarding at Acme?"
Trigger:
- "Your Leeds office"
- "After the new hire round"
Referral:
- "Priya suggested I write"
- "Intro from your finance team"
Plain ask:
- "Quick question on approvals"
- "Ten minutes next week?"
Use a referral line only when the referral is real.
What to avoid
- Capital letters and exclamation marks.
- "Re:" or "Fwd:" on a first email, which misleads the reader.
- A product name or a promise you cannot prove.
- Anything that does not match the first line of the email.

Match the first line
The subject sets a question and the first line answers it. If the subject says "Your Leeds office", the first line mentions the Leeds office. See the outreach cadence templates for the full sequence and the follow-up email templates for after a call.
Test one change at a time
- Pick one style per week for a group of reps.
- Send at least 100 emails per style before you compare.
- Compare replies, not opens. Open counts are unreliable on many mail clients.
- Keep the style with the most replies and test a new one.
Check your own
- Print the last 20 subject lines your team sent.
- Cross out any over six words.
- Check each matches its first line.
Next step: track replies and meetings on one page with the free SDR KPI cheat sheet.
Questions
How long should a cold email subject line be?
Six words or fewer is a good rule. Short lines show in full on a phone.
Should an SDR personalise the subject line?
Yes, with a true detail such as a role, an office or a recent event. Do not invent one.
Should I use the buyer's name in the subject?
You can. It matters less than a specific reason.
